Working Out What a Delay Actually Costs You

Deciding whether to pay for faster delivery is usually treated as a gut call. It does not have to be. The calculation is straightforward, and running it once for your own business tends to settle the argument permanently.

The question is not whether same-day delivery is expensive. It is whether it is more expensive than the delay it prevents.

Start with the cost of waiting. If a part does not arrive, what stops? Four tradespeople standing idle for a morning is several hundred dollars before anyone has done anything. A production line down is considerably more. A retail store without stock on a Saturday loses a day of sales on that line. Put a number on it, even a rough one.

Add the second-order costs. Rescheduling, the administrative time spent managing the delay, the customer communication, and the knock-on effect on everything else in the diary. These are real and they are almost never counted.

Then add the relationship cost, carefully. This is harder to quantify and frequently the largest component, particularly in B2B where your delay becomes your customer's delay to somebody else. A conservative estimate is better than leaving it at zero, which is what omitting it effectively does.

Compare that to the freight premium. The difference between an overnight service and a same-day one is usually a modest sum. Set against an idle crew or a lost trading day, the comparison is rarely close.

Do it by category, not in general. Most businesses find that a small proportion of their freight has a high cost of delay and the rest has almost none. Spending on speed uniformly is wasteful; spending on it where the delay is expensive is obviously correct. The useful output of this exercise is a rule about which items get which service.

Watch for the hidden urgent. Items that get expedited repeatedly are telling you something. If the same part is couriered urgently once a month, the real problem may be a stock holding decision rather than a freight decision.

Consider who pays. For many businesses the customer will happily cover urgent freight if asked at the right moment. The assumption that they would not is often untested, and testing it costs nothing.

Factor in the sales you are not making. Some customers choose a supplier purely on availability. If you cannot get something there today and a competitor can, you lose the order without ever knowing it existed.

Review it annually. Labour costs, customer expectations and your own product mix all change, and a decision made three years ago may now be wrong in either direction.

Once you know which categories justify speed, the next step is making sure a same day courier nz arrangement is actually in place for them, with an account open and your details loaded. Deciding that speed is worth paying for and then spending an hour setting up a supplier is a poor outcome on the day it matters.

The calculation usually surprises people in the same direction: urgent delivery is cheaper than they thought, and delay is far more expensive.
